How many guests can Evergreen Brick Works accommodate?

Our spaces offer various capacities, from the 225-seat year-round BMO Atrium to a capacity of 2,000 standing reception in the Pavilions and Holcim Gallery. Our meetings rooms can accommodate up to 70 persons. For more information, please refer to our event rental space package (PDF, 1.1MB) and wedding rental space package (PDF, 1.1MB).

Can I hold an outdoor event?

Yes, some of our events spaces are designed to host outdoor events.

What time does the reception have to end?

All receptions and events have to end at 2:00 AM.

Where do our guests park their vehicles?

There are over 300 parking spots at Evergreen Brick Works that can accommodate family vehicles, supplier vehicles, or any other event vehicles, but other users may reduce the number of parking spots available for your event. Parking fees are $6.00 per car during the week and $8.00 per car during the weekend.

However, we encourage all users of the site to use public and alternative means of transportation to the site. For your event:

  • Consider a shuttle service to and from the site. Large-scale events may necessitate the use of a shuttle bus from the nearest subway stations.
  • Help arrange carpooling and shared taxis.
  • Encourage the use of hybrid and fuel efficient vehicles, as well as multi-occupancy vehicles through preferred parking spaces, preferred fees or other incentives.
Are your facilities wheelchair accessible?

Yes, all our event spaces and main washrooms are wheelchair accessible.

Is photography permitted?

Photography permits are $200 for a maximum of 2 hours and are limited to external shots only. Interior shots are prohibited. For all photography enquiries, please email photography@evergreen.ca. Are we able to bring in our own caterer?

Evergreen Brick Works has taken great care in selecting its own list of approved caterers. Our caterers are chosen for their experience and understanding of diverse menus ranging from local fare to ethnic cuisine. All approved suppliers on food, beverage and staffing providing service to events at Evergreen Brick Works are subject to a 15% Landmark fee (except for in-house caterer: 10% Landmark).

Do you have suggested suppliers for foods, beverages, flowers, music, photography, etc.?

We will be happy to provide you with contact information for our approved suppliers.

Is your venue licensed?

No, if you plan to serve alcohol you will have to purchase a Special Occasion Permit (SOP) from the LCBO and display it during your event. The SOP application can be downloaded from www.lcbo.com.

What charges have to be expected?

Besides room rental and catering services, you will also be responsible for event rental equipment. This includes all tableware, linens, tables & chairs and other equipment required to execute your event. Other charges for insurance, additional security, entertainment, A/V, cleaning services and others may apply, depending on your individual needs. There will be a 15% landmark fee applied to the equipment rental. All revenues generated from landmark fees are collected to support our social enterprise on-site.

Event Supervision

An Event Supervisor from Evergreen is required on site for all events at a rate of $35.00 per hour. There is a minimum of four hours for this charge. These charges will be reflected in a separate invoice from Evergreen, once the event has been completed.

Insurance

For all events the Client shall, at its sole cost and expense, obtain Commercial General Liability Insurance with limits of not less than $5,000,000 per occurrence and general aggregate. The Policy shall not exclude Host Liquor Liability and shall name Evergreen as Additional Insured.

Security Personnel

There will be a charge for security charge of $35.00 per hour, per guard. As per the AGCO regulations, we will schedule 1 guard per 100 guests. These charges will be reflected in a separate invoice from Evergreen, once the event has been completed.

Cleaning

There will be a venue cleaning fee, for post event cleaning. These charges will be reflected in a separate invoice from Evergreen, once the event has been completed (excludes meeting rooms.)

Socan

A fee will be charged on behalf of the Society of Composers, Authors and Music Publishers of Canada (SOCAN) if any live or pre-recorded music is played at the event (excludes meeting rooms.)

Tariff B5

This tariff sets the royalties to be paid for the performance in public or the communication to the public by telecommunication of published sound recordings embodying musical works and performers’ performances of such works in the repertoire of Re:Sound as a part of events at receptions (including weddings), conventions, video game events, assemblies and fashion shows.

What is your payment structure?

50% of the total rental rate is due upon signing the contract. The remaining balance and the $1,000–$1,500 security deposit are due 30 days prior to the event. In the event of a cancellation, a written notice of cancellation is required. If a cancellation notice is not received 30 days prior to event, the full amount of rental is due immediately. All deposits are non-refundable.

What limitations apply to decor?

We will be happy to coordinate specific decor requirements with our clients. However, we do not allow anyone to post, nail, tape or tack anything to any of the walls.  Candles must be dripless.  All linens and fabric used for events must be flame-retardant.  We do not permit the use of confetti, flower petals or balloons anywhere on site.  You will be fully responsible for the set-up and tear down of any decoration in the specified times, for set up and closing

Can the site be used for both wedding ceremonies and receptions?

Yes, we have several options for onsite ceremonies and receptions depending on your number of expected guests.

Are there rooms for the bridal party’s use?

Yes, we can provide a room for the bridal party’s use in one of our meeting rooms, based on availability.

Can I host a birthday party?

Evergreen Brick Works is not available for birthday party programming, since the site does not have an indoor space suitable for this purpose. Visitors who wish to hold informal birthday gatherings in one of our outdoor spaces, or in the surrounding park lands, are welcome to do so. (This does not include program areas such as Chimney Court or the Pavilions, which are reserved for Evergreen use.)

However, we ask that all site users respect the following guidelines:

  • Users are responsible for the proper management of their own garbage and other waste materials.
  • We adhere to a “Pack In, Pack Out” policy: whatever you bring with you to the site, you are expected to take with you when you leave.
  • Visits to the site should take place during regular operating hours: Monday–Friday 9am–5pm, Saturday 8am–4pm, Sunday and Holidays 10am–4pm.
  • Respect other users of the site, including Evergreen programming and special events.
  • Please make contingency plans in case of rain. There is no extra indoor space available, and the area is susceptible to flooding. All visitors will be asked to evacuate the site immediately in the event of a flood situation.
  • Please do not bring balloons. They tend to remain on site, and become an environmental hazard.
  • Evergreen Brick Works is a public site on land managed by the City of Toronto, and is subject to city bylaws. Alcohol is not permitted in non-licensed or outdoor areas.
Is there free wi-fi?

Yes, free wi-fi is available in our meeting rooms, the Young Welcome Centre and the BMO Atrium.

What is the last day for a final guest count?

You will have to provide us with your final guest count 10 days prior your event.
